Concept Installations (Southern) Limited is a UK registered company. Concept Installations (Southern) Limited treats the handling of personal data seriously. This Privacy Policy details how Concept Installations (Southern) Limited will treat your personal data after it has been collected, either through its website or otherwise, together with details on the type of information we may collect from you. Concept Installations (Southern) Limited will only use your data as detailed in this Privacy Policy or for its legitimate business reasons.

We collect personal information about you when you voluntarily submit information directly to us or to our website contact forms. This can include information you provide to us when you telephone us, complete a form, correspond with us, leave us a testimonial, or email us.

Contact details: We collect contact information such as your name, your email address, your telephone number and physical address.
Comments and opinions: When you contact us directly, e.g. by email, phone, post or by completing an online form we will record your comments and opinions. Your testimonials may appear on our website and/or Facebook.
Payment and transaction information: We keep records of the installations we undertake for you. These are kept on a secure PC, which is password and pin protected. When your installation is complete, these records are transferred to a USB, which is kept in a secure, locked drawer. Your transaction information is also kept on our accounts package, Sage. Sage is installed on the same PC and is password protected. It is regularly backed up and sent to our registered Accountants, JDW Accountants, 14D Chatmohr Estate Business Park, Crawley Hill, West Wellow, Hampshire, SO51 6A, so they may process VAT and tax returns. Although we keep records of your transactions, we do not store any financial details.
Your preferences: We do not store or use marketing preferences on our website.
Information provided by other users: We do not obtain information about you via third parties. All information we hold, is provided voluntarily by you.
3. How we use your personal information, and what our legal basis is for this use
We process your personal information for the following purposes:
To fulfil a contract This is relevant when you book an installation with us. This includes:
a) Sending our employees to the installation site, which is usually your home address.
b) Processing your payments and bookings.
c) Communicating with you about the installation and about queries, issues or concerns you may have.
d) Providing customer service and support
As required to conduct our business effectively and pursue our legitimate interests.
a) We have your surname, the name of the town you live in and the start date of your installation, written on a board in the office. This is so staff know when your installation is scheduled. Members of the public do not have access to the office.
b) Your surname is also on a year planner on the wall of the office, under the date of your installation.
c) Copies of your invoices are kept in a secure folder and hold your name, address, email address and telephone number. They are used strictly for accounting purposes.
4. Information we share with third parties
We may share your name and address with subcontractors if they are needed to work on your installation. Information about this, is available upon request.
5. Marketing and Advertising
We do not use your personal information for marketing and advertisement,
We may share photographs on our website and/or company Facebook page, that our installers take at the end of an installation. No personal information about you or your home is used or shared.
7. Storing and transferring your personal information
Cookies and Local Storage: Our website does not currently use cookies.
Security: we implement appropriate technical and organisational measures to protect your personal information against accidental or unlawful destruction, loss, change, or damage.
8. How Long we keep your personal Information
Your information is kept on a USB stick, which is securely kept in the office. It is kept as your installation is guaranteed for 18 months, and we may need to refer to it for these purposes.
Your invoices are stored in a locked cupboard until the end of the financial year, whereupon they are archived in a locked cupboard for the required 7 years.
9. Accessing and correcting your personal information
You have the following rights in relation to your personal information:
(i) the right to be informed about how your personal information is being used;
(ii) the right to access and receive a copy of the personal information we hold about you;
(iii) the right to request the correction of inaccurate personal data we hold about you;
(iv) to request the blocking, restriction or deletion of your personal information.
In addition, you have the right to object to the processing of your personal data in some circumstances (where we don’t have to process the data to meet a contractual or other legal requirement. To exercise any of the above rights, or if you have any questions relating to your rights, please contact us by using the details set out in the "Contacting us" section below.
If you have unresolved concerns, you have the right to complain to an EU data protection authority where you live, work, or where you believe a breach may have occurred.

Our website contains links to third party websites.
